Project setup
What to configure before your team can run projects and work orders from templates.
Project setup covers the building blocks a won quote or a new job runs on: work types, report types, and project templates. Get these right and every project a quote creates lands in the right stages, with the right work orders, reports, and approvals, in the right order. The same group of Settings pages also holds hold reasons, case categories and resolutions, case response times, dispatch settings, and the Field library.
Set these up in order
- Work types and report types first. A work order always needs a work type, and a work type's default report comes from report defaults.
- Jurisdictions, if you pull permits. A permit step in a project template can reference a jurisdiction's requirements and timelines.
- Project templates, built in Template Studio. This is where stages, work orders, tasks, permits, and payments come together into a repeatable plan.
- Template mappings, last. This connects a quote type to the project template it hands off to when a quote is accepted.
How the records connect
A work type (Installation, Inspection, and so on) carries a standard scope and a default duration. Report defaults pairs a work type with the report type a technician fills out for that work. A project template is built from stages, each holding steps: work orders, tasks, permits, permit inspections, applications, reports, material requests, payments, plansets, RMAs, or custom records. A step that creates a work order pulls its work type, and through it, its default report.
Template mappings decides which project template a given quote type hands off to when a quote is accepted and signed. A project template can also be picked directly when someone creates a project by hand, or reached through a maintenance plan's deliverable (see Monitoring setup).
Status names you'll see
A project template is Enabled or Disabled. New templates, copies, and new versions always start Disabled. A platform-built template shows a Platform source tag and can't be edited directly; use Make a company copy to get an editable version.
