Close out finished work
How finished work leaves Review Work, how a project is closed out, and how to close a work order by override.
Finished work no longer has a separate close step. A work order leaves Review Work when its four stages (Visit, Review, Follow-up, and Billing) are done or not needed. Reviewing the report is the sign-off. This page covers what closes the work order, how a whole project is closed, and how to close something that can't finish the normal way.
Before you start
You need the Owner, Admin, or Operations Manager role.
A work order closes by finishing its stages
- Go to Operations → Review Work and open the job.
- Work through the stages that are open. See Review submitted reports for the review, and Review and bill completed work for billing.
- When the last open stage is done, the job leaves All jobs.
The work order's own status stays Completed. There's nothing more to click.
Close a project
A project closes from the project, not from Review Work. Once the project is completed, open its Work tab and use the Closeout section. It lists what still needs attention and offers Close project. See Complete a project.
Close a work order without resolving it
Use this when a work order should leave Review Work even though its remaining stages won't be finished, for example work that was entered by mistake.
- In Review Work, open the job.
- Open the ⋯ menu and click Close work order without resolving.
- Write the Reason for closing.
- Confirm.
A completed work order stays Completed and its closeout is recorded. A work order that hadn't been completed is canceled and marked closed. Existing reports and billing records stay on file, and the reason is saved in History.
Check it worked
The job no longer appears under All jobs, and History shows the closing entry with your reason.
Common problems
- A finished work order still shows on the list. One of its four stages is still open. Open the job and look for a stage with a dot or a number. Billing is the usual one.
- A project won't close. The Closeout section on the project lists each blocker, such as an unpaid invoice, with its next step.
Get paid before the customer sees the report
Hold a report until the customer pays an invoice, or list their unpaid invoices above the report with a way to pay.
Create and track an RMA
Track a piece of equipment out for a warranty return or replacement, from request through return, and invoice the manufacturer for the work.
