Accounting problems
Fixes for common problems creating invoices, collecting payments, and running accounting reports.
You can't find New Invoice
Creating invoices is available to the Owner and Admin roles. Ask an Owner or Admin to create the invoice. See Create and send an invoice.
Sending an invoice fails with a delivery error
Use Mark Sent once you've confirmed the customer has the invoice another way, or check the recipient email on the invoice's Customer card. See Create and send an invoice.
You can't edit an invoice
Editing is only allowed while it's a Draft, or, once it's matched to QuickBooks, while it's Created, Partially Paid, or Overdue. A Paid, Void, or Written Off invoice can't be edited. See Create and send an invoice.
Collect Payment is greyed out
Stripe isn't connected, or hasn't finished onboarding. Finish connecting Stripe, or use Record Payment for an offline payment instead. See Record and collect payments.
A payment doesn't move the invoice all the way to Paid
Check the invoice's Amount Due: a payment smaller than the balance leaves it Partially Paid by design. See Record and collect payments.
A project's hourly invoice won't create
The payment that bills hours needs recorded hours waiting to bill. Hours held over the labor limit aren't billed until the limit is raised with a change order. See Hourly pricing and billing.
A visit shows "Needs attention" in Work Billing Review
Open the drawer to see the specific reason; it's usually a billing signal that couldn't resolve to a milestone or invoice automatically. See Review and bill completed work.
You can't edit invoicing settings
Editing invoice settings is Owner and Admin only, even if a custom role has a general "manage settings" permission elsewhere. Ask one of them to make the change. See Set up invoicing and tax.
AR (QuickBooks) is empty on the accounting reports
Either QuickBooks isn't connected for your organization, or it's connected but no snapshot has run yet: click Refresh snapshot and check back in a few minutes. Everything else on the reports page works without QuickBooks. See Connect QuickBooks and Read the accounting reports.
Billing Review, Audit, or Repair show nothing useful
If QuickBooks isn't connected, Billing Review still lists projects but nothing reconciles against QuickBooks, and Audit/Repair have nothing to compare. If QuickBooks is connected but these pages still look bare, no snapshot has run yet; open Audit and click Refresh snapshot, then reload after a few minutes. See Reconcile with QuickBooks.
