What you'll accomplish
Invite a teammate to your organization, assign the right role, and, if the seven built-in roles don't fit, create a custom role based on one of them.
Prerequisites
- The Owner or Admin role. Sending invitations and creating custom
roles both require the
users.inviteandusers.manage_permissionspermissions, which only Owner and Admin hold by default.
Steps
1. Open People & Access
From the top nav, go to Settings, then People & Access
(/settings/people). You land on the Members tab.
2. Send an invitation
Click Invite User. In the Invite User drawer, fill in:

Role: pick one of the invitable roles:
Group Role Administration Admin Sales Sales Manager, Sales User Operations Operations Manager, Operations User Field Service Technician Member Member Your organization's custom roles (if any) appear below the built-in list, each labeled with the base role it's built on (e.g. "based on Sales User").
Click Send Invitation.
3. Create a custom role (optional)
If none of the built-in roles fit, go to the Roles tab and click Create custom role. The wizard walks you through:
- Choose Base Role - your custom role starts with that role's exact permission set.
- Name & Description - give it a clear name (e.g. "Senior Technician").
- Customize Permissions - toggle individual permissions on or off.
- Review & Confirm - shows a summary count of permissions added and removed relative to the base role (e.g. "3 permissions added"), each with the affected permission names listed underneath. Click Create Custom Role.
The new role appears in the invite drawer's role picker immediately.
Verify it worked
- The invite shows up in the Invite log (the button next to Invite User on the People & Access page) while it's pending.
- Once the invitee accepts, they appear in the Members list with the role you assigned.
Common problems
- Owner isn't in the role picker. Owner can't be invited directly: someone must already hold it and promote another member from the edit-member drawer.
- A custom role didn't get permissions you expected the base role to have. A custom role's permission set is captured in full at creation time; it doesn't stay linked to its base role. If the base role's default permissions change later (a platform update, for example), existing custom roles don't pick up the change automatically. Edit the custom role directly to add the new permission.
- You can't see the Roles tab or the Create custom role tile. Both are
gated by
users.manage_permissions(Owner/Admin only); everyone else only sees Members.
